As the myQUEST Clinic Manager, you will play a pivotal role in overseeing the day-to-day operations of our telehealth clinic, ensuring seamless service delivery, and maintaining exceptional patient satisfaction.

The Day-to-day

Operational Management:

  • Develop and implement operational policies and procedures to optimise clinic efficiency.
  • Monitor and implement daily clinic activities to ensure adherence to established protocols and standards (incl Halaxy notifications, new intake forms, managing clinic inbox, missed calls and prescriber Teams chats).
  • Oversee and implement scheduling and appointment management.
  • Manage monthly reporting (appointments, finance etc).
  • Daily ‘trouble shooting’ and finding solutions to challenges.

Team Leadership:

  • Recruit, train, and supervise clinic admin staff (to be recruited at a later stage).
  • Be the first point of contact for patients, prescribers and dispensing pharmacies.
  • Schedule quarterly prescriber, CEO and Clinic Director catch ups.
  • Foster a positive work environment that promotes teamwork, professionalism, and continuous improvement.
  • Conduct regular performance evaluations and provide feedback to support staff development and growth.

Patient Care and Experience:

  • Uphold the highest standards of patient care and satisfaction through effective communication and service delivery.
  • Address patient inquiries, concerns, and feedback promptly and courteously to ensure a positive patient experience.
  • Address pharmacy inquiries and feedback promptly to ensure prompt product dispensing or delivery.
  • Implement strategies to enhance patient engagement and retention, including patient education initiatives and follow-up protocols.

Quality Assurance and Compliance:

  • Ensure compliance with regulatory requirements, industry standards, and best practices in telehealth service delivery.
  • Conduct regular audits and quality assessments to identify areas for improvement and implement corrective actions as needed.
  • Maintain accurate documentation and records related to clinic operations, patient care, and regulatory compliance.

Technology Integration and Innovation:

  • Be a key member of the team involved in the new clinic software selection process.
  • Be a key member of the team involved in the set-up of the new clinic software; transitioning from the current system to the new system.
  • Test the new system and workflows and checking that all clinical notes and scripts have been successfully transferred.
  • Ensure new medications are listed in the clinic software; ready to be prescribed by clinic prescribers.
  • Train clinic admin staff members and clinic prescribers on how to use the new software.
  • Collaborate with IT and finance teams to run monthly clinic reports.
  • Continuously review and improve patient communication workflows (SMS and email).
  • Stay abreast of emerging trends and innovations in telehealth and healthcare management to drive continuous improvement and innovation initiatives within the clinic.

Financial Management:

  • Oversee and implement daily invoicing to patients and integration with Xero
  • Monitor clinic finances, including budgeting, revenue generation, and expense management, to ensure financial sustainability and profitability.
  • Identify opportunities for revenue growth and cost optimisation while maintaining high-quality service delivery standards.

About You:

  • Proven experience in healthcare management, preferably in a telehealth setting.
  • Strong leadership abilities with demonstrated experience in team management and development.
  • Excellent communication, interpersonal, and customer service skills.
  • Familiarity with telehealth technology platforms and electronic health records systems.
  • Strategic thinking and problem-solving skills with a focus on continuous improvement and innovation.
  • Ability to multitask, prioritise, and manage competing priorities in a fast-paced environment.
